The paper register has three problems

  • Nobody knows who is late until a parent calls or the warden counts heads at night.
  • You are not there. As the owner you cannot see the register from home, and last month's pages are hard to search.
  • A rush at the gate (festival, exams over, Sunday market) means scribbling, missing entries and arguments.

The Hostel Register keeps the same habit — a warden at the gate noting who goes and who comes — and adds search, alerts and history.

How it works

Ready in an afternoon

No hardware, no installation. You, your warden and your students all use ordinary phones.

Add your hostel and students

Name your hostel, then add students one by one or upload your Excel sheet (name and mobile number; room, course and year if you have them). Each student gets a private 4-digit PIN.

Give your warden a login

Create a login with an e-mail and password. The warden sees only their own hostel — nothing else in your account.

Use it at the gate

Search a student, choose Home, Market, Hospital, College or Other, and when they will be back. Tap “Back in hostel” on return. Late students turn red.

Get told, not surprised

When someone is late you get an e-mail (your warden too) and a phone notification. Switch on a daily roll-call note if you like.

Late, calculated for you

You set the gate time and a few minutes of grace. A student is late only after their own return time plus the grace.

Alerts that arrive once

One e-mail per late student for you and the warden, and a phone notification for you. Never the same alert twice.

QR for students

Download a QR card for your gate or notice board. If you have connected your own domain, the link uses it.

Holiday in one go

Tick all the students, choose the reason and the return date, done. Mark them back together when they return.

Mess + hostel together

If you also run a mess with Chatsettu's meal check-in, students who are away are not counted for the meal unless they said they will eat.

History you can search

Filter by date, student, room or status, and download for Excel. Corrections and who recorded what are kept.

Private and honest

Your students' data, handled carefully

  • Kept separate. Every client's hostels, students and records are separate from everyone else's, and a warden sees only their own hostel.
  • PINs protect students. Without their mobile number and PIN nobody can open a student's page, and repeated wrong guesses are blocked.
  • You decide how long. Out-in records are deleted automatically after 3, 6 or 12 months. If you delete your account, everything goes with it.
  • No messages to students. Chatsettu never contacts your students; alerts go only to you and the wardens you choose.
  • A tool, not a guarantee. The register shows what you, your wardens and your students enter. It does not replace roll calls, your hostel rules or a guardian's judgement, and alerts depend on e-mail and phone delivery.

Several hostels, several wardens and all your students are included. We switch it on for your account — write to us and ask for a free trial first, and pay only if it suits your hostel. Nothing auto-renews.

WhatsApp alerts use WhatsApp alert credits: ₹149 for 500 messages or ₹299 for 1,200. E-mail and phone notifications cost nothing extra.

Frequently Asked Questions

Do students need to install an app?
No. Students open a link or scan the QR on their phone and log in with their mobile number and a 4-digit PIN. Wardens use the same website on a phone or laptop. The dashboard can also be added to the phone's home screen like an app.
Can a student cheat by marking themselves back?
No. A student can only ask to go out; the warden approves, declines and marks them back. Students cannot mark themselves back or see anyone else.
What if my warden uses a basic phone with no internet?
The register needs internet (a phone or a laptop with a browser). If the connection drops the screen tells the warden plainly and does not pretend a tap was saved.
I have a boys' and a girls' hostel with different wardens. Is that possible?
Yes. Add each hostel separately and give each warden a login for their own hostel. You, the owner, see all of them.
I also run a mess. Do they work together?
Yes, if you use Chatsettu's meal check-in. Switch on “leave out students who are away from the hostel” and a member who is marked out in your register (same mobile number) and has not answered is not counted for that meal. If the student answered, the answer wins.
Can I use my own domain for the students' link?
If you have connected your own domain for a Chatsettu AI employee, the students' page opens on it too, and the dashboard shows you that link first. There is nothing extra to set up.
How do I start?
Create a free Chatsettu account, then write to chatsettu@gmail.com to switch the Hostel Register on for a free trial. A Chatsettu AI employee is not needed to use it.
